Use Outlook on a second computer

Google Workspace Sync for Microsoft Outlook

If you use Microsoft Outlook on more than one computer, say, on your desktop computer at work and your laptop computer at home, install Google Workspace Sync for Microsoft Outlook (GWSMO) on each computer. You can then access your same Google Workspace mail, contacts, and calendar events, as well as your Outlook notes and tasks, from either location. Some information in Outlook that doesn't synchronize with Google Workspace, however, is not reflected on the other computer but available only on the computer where you add it.

Here are tips for managing information in Outlook that doesn't get synchronized with your other computers.

Create the following on each computer where you use Outlook with GWSMO

  • Email signatures—To use when sending mail from that computer.
  • Personal contact folders for grouping contacts—Adding a contact on one computer makes it available on the other. But you'll have to move it to the desired folder on each computer.
  • Personal distribution lists—To use to send email from that computer.
  • Colored categories—You plan to use on that computer.

Add the following where you'll most likely need it...

  • Journal entry—Add these on the computer where you'll use them as they won't automatically show up on the other computer.
  • Post in a mail folder—A post you add to a mail folder on one computer in Outlook won't show up on the other.
  • Category assignment—Assigning a message, contact, note, or task to a color category on one computer doesn't assign it to the category on the other computer.
  • Pictures, rich formatting, or attachments in a contact's notes—On the other computer you'll get plain text and no attachment.
  • Attachments to calendar events—Attachments won't sync to the other computer.
  • Task start dates, status, or reminders—On the other computer you'll view due dates, but no start dates, progress status, or reminders.
  • Recurring tasks—On the other computer, only the first task will appear.
  • Long note in a contact—On the other computer, a note larger than 16 KB is truncated.

When marking messages in Outlook...

If I do this on one computer... What happens on the other?

Flag a message as a task.

The message is flagged.

Specify a different follow-up date.

The date defaults back to today.

Add a reminder.

The message is flagged without a reminder.

Check off a flagged message as completed.

The message isn't checked off and the flag is cleared.

Mark a message High or Low importance.

The message has normal priority.

Reply to (or forward) a message.

The message doesn't have an icon indicating it's been replied to or forwarded.
